- Organize and maintain specified programs.
- Research, assemble, and summarize information/data for local and statewide distribution.
- Investigate operating methods within programs and develop improved methods.
- Quarterly draft edit, finalize the statewide CCD vehicle report and distribute to internal stakeholders.
- Manage lifecycle of CCD Statewide Fleet.
- Coordinates the oral and written psychological examinations with the Department of Corrections Psychologist for the CCD Arming Academy.
- Maintains Polygraph Contracts, sending out proper paperwork to keep contracts in compliance.
- Gathers information and distributes the Firearms Quarterly Report.
- Assist and process personnel actions for above specified programs (Safety, Victim Services and Interstate Compact)
- Ensure personnel paperwork is completed correctly; process through Human Resources.
- Maintains and manages webpages and content for select statewide programs.
- Order items for the programming needs to include program specific required items.
- Using TEMS program to prepare and submit staff travel reimbursements.
- Assist CCD Security Specialist with large-scale equipment orde rs, tracking, inventorying, and sending out requested items, as needed.
- Prepares correspondence for supervisor and program administrators.
- Reads, routes, and distributes incoming mail, retaining certain correspondence for own replies.
- When assigned, gather and prepare documents for public disclosure requests.
- High School Diploma or equivalent.
- Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
- Skilled proficiency level using productivity software packages and internet-based applications (examples include MS Word, Excel, Access, PowerPoint, Outlook, and SharePoint.
Preferred:
- Expert proficiency level using a spreadsheet program (example is MS Excel).
- Application and adherence of the Governor's Correspondence Guidelines.
- Application and adherence to state wide government personnel policies and procedures.
- Experience responding to and/or coordinating requests for information (examples include Public Disclosure request â" Requests for information and Attorney General, etc.)
