POSITION SUMMARYThis position is responsible for administrative support co-ordination to multiple regionally affiliated physician practice groups as well as to the regiona! l office and executive team. ESSENTIAL DUTIES AND RESPONSIBILITES Provide administrative support to multiple affiliated physician practices including the following: Obtain and maintain physician pagers. (May involve driving pagers to a hospital facility on an urgent basis). Obtain and maintain physician cell phones, if applicable. Coordinate physician team meetings including scheduling and arranging for room, food and preparing material as directed. Coordinate new hire processes at each facility including orientation. Facilitate physician ordering of business cards and lab coats. Coordinate ACLS / BLS courses for practice providers. Interface with affiliated hospital medical staff offices and health information management department to coordinate chart deficiency and delinquency notifications to physicians. Assist physician practices with special projects, as required. Provide administrative support to the regional office in the form of general office work (faxing, mailings! , draft letters, word documents, order supplies & forms) inclu! ding the following: Appropriately answer and address telephone calls as needed. Create and maintain informational databases for internal and external contacts including physicians, hospital partners and vendors. Coordinate updating of organizational email distribution lists.Manage communication and correspondence, tracking important dates and other information, sending reminders and fielding questions and concerns from colleagues. Manage office vendor relationships. Interface with central office. Train new administrative staff when applicable. Complete additional special projects as assigned. Provide administrative support to the regional executive team including the following: Coordinate and/or arrange meetings, conference calls and travel schedules including but not limited to quarterly business review and other management/administrative meetings. Collect and collate expense/reimbursement reports, reconciling corporate credit card statements. Work with all internal depart! ments to facilitate smooth flow of pertinent information. Manage a file system, including producing record copies of notes and file/forward as appropriate. Prepare PowerPoint presentations as requested. Develop, create, modify and or print various reports as requested. Complete additional special projects as assigned. Exposure to and/or familiarity with the following areas o! f law: healthcare regulatory, contracts, M&A and state and federal securities Excellent negotiating skills Ability to communicate effectively with a variety of contacts, including outside attorneys, senior management, and business associates. Strong interpersonal skills to handle sensitive situations and confidential information. Position continually requires demonstrated poise, tact, diplomacy, and good judgment. Proficiency with Microsoft Office Suite EDUCATION / EXPERIENCE Education: Minimum: Bachelors Degree of equivalent experienceExperience: Minimum: 2 years physician practice management experience LIST SPECIAL JOB OR ENVIRONMENTAL CONDITIONS Indoor office environment Some local travel to physician practice sites within the region OTHER PHYSICAL AND/OR SPECIAL REQUIREMENTS ABOUT YOUR JOB Sitting at desk for up to eight hours (w/breaks) Working on computer for up to eight hours (w/breaks) Moving/lifting file boxes (up to 25 lbs.) with assistance or hand-truck
