This job is responsible for performing a variety of general office and receptionist duties in support of the Diagnostic Imaging function in accor! dance with established standards and procedures. Some positions are primarily engaged in front office activities, such as answering phones, greeting and checking in patients, entering registration/demographic information in automated systems and scheduling appointments (back-up basis only). Other positions are largely focused on the back office activities associated with locating, retrieving, delivering, filing and maintaining imaging films and related patient jackets/files. The work of a given incumbent may be concentrated on either front office
or
back office responsibilities,
or
a combination thereof.
Essential Duties:
Answers telephone to respond to general inquires concerning department activities and operations by looking up information in automated computer system(s) and referencing established procedures manual; answers routine questions in their entirety or refers to appropriate party.
Greets and chec! ks patients in for scheduled imaging procedures; makes jacket ! for new patients or ensures existing jacket is available for returning patients; explains applicable procedures/preparation and healthcare regulations; receives physicianâs order and checks for completeness and to confirm that diagnosis is consistent with the imaging procedure; gathers demographic and other patient information; may enter patient information in automated computer system(s); may occasionally escort patients to designated location.
Receives requests and processes, logs and tracks all outgoing and returning diagnostic imaging films in accordance with established guidelines; prepares outgoing films for loan to physicians, patients, attorneys or other interested parties and arranges for delivery to requesting parties.
Requests, logs and delivers incoming films requested by staff; arranges for prior films to be collected prior to the scheduled examination; retrieves films and prepares for return to place of origin; prepares files and arranges f! or off-site storage.
Receives final imaging services reports after transcription; separates reports and distributes in accordance with established procedures; files report copies in patientâs film jacket; sends copies of reports to requesting physicians as appropriate.
Prepares, maintains and files film jackets/files using established methodologies; ensures that jackets are filed in a timely and accurate manner; locates and pulls file jackets, referring to automated computer system or using other tracking methodologies; prepares files and arranges for off-site storage; receives and returns films that have been archived off-site.
Operates equipment to make copies or slides of imaging films; may locate and âhangâ films on the viewing board in reading rooms for review by radiologist; retrieves and re-files films after they have been read.
Reviews documents, records or files for completeness, accuracy and compliance with established pro! cedures; investigates and corrects errors within designated scope of re! sponsibility.
Troubleshoots and resolves routine problems within designated scope of responsibility; may coordinate (or act as liaison) between internal departments or external parties to facilitate problem resolution.
May perform related general office duties such as monitoring/ordering standard office supplies; collating and assembling documents and materials; accepting and delivering inter-department correspondence and photocopying/faxing correspondence and reports; may prepare and send out routine form letters to patients.
May occasionally schedule patient appointments on an incidental basis
although this activity is not primary to the purpose of
the job.
Qualifications
Education/Experience:
High school diploma (or GED equivalent) and one year of recent related work experience, preferably in a customer service-based organization.
Work experience in a healthcare environment is preferred.
License/Certification:
None required.
