JOB SUMMARY: Provide administrative and secretarial support for the Hospital Administrative Staff, Leadership Team and the Board of Commissioners. Interface with high level internal/external contacts requiring considerable discretion and initiative. Work independently, exercise judgment, and provide clerical support to various staff members.
QUALIFICATIONS:
Education/Training: High school diploma or equivalent with a strong background in spelling and grammar. Associate degree in Business Administration or a related field is preferred.
Experience: Three years of experience in an administrative assistant role is preferred. Proficient computer and transcription skills, scheduling and coordinating meetings, recording of minutes at meetings, and working knowledge and experience with various office equipment.

ESSENTIAL FUNCTIONS:
Planning and Prioritizing
1. Arrange and organize internal and external meetings and special events, i.e., notices, location, special needs, catering, materials, etc.
2. Assess and prioritize work assignments from multiple staff in order to meet deadlines.
Information Gathering
3. Consult appropriate staff and resources to respond accurately to inquiries from the public, Board of Commissioners, physicians, and other staff and agencies.
4. Obtain information from other agencies or sources to complete projects and reports.
Decision-Making
5. Ability to make a good decision after acquiring pertinent information from appropriate individuals and/or resources with managerial supervision when necessary.
6. Oversee office equipment functionality, report problems to appropriate individuals, and ensure necessary supplies are readily available for staff.
Communication
7. Prepare confidential documents and maintain confidentiality for all forms of communication.
8. Effectively communicate with others through verbal and written skills to accomplish tasks and projects.
9. Coordinate patient concerns received by noting pertinent information and expectations and forward to Quality Resources Director or appropriate Department Leader for resolution and response.
Technical Proficiency
10. Efficiently operate standard office equipment and maintain supplies for administrative personnel.
11. Proficient in the use of Microsoft Excel, Word, PowerPoint, and Outlook.
12. Skilled in composing written communications with proficiency in spelling and grammar.

13. Assist other hospital departments and team leaders in addition to regular responsibilities of position.
14. Establish a competent and mutually respectful working relationship with commissioners, physicians, foundation officers, attorneys and other key personnel affiliated with Pullman Regional Hospital.

26. Support tenants as needed, e.g., building signage, mail distribution, procedures for hospital emergency codes, etc.

1. Arrange spaces for special events.
2. Perform other non-essential functions as requested.
PHYSICAL DEMANDS:
Sitting: 80%. Standing/Walking: 20%.
Occasional lifting/carrying of supplies and equipment weighing between 20-40 pounds.
Occasional pushing/pulling of supplies and equipment weighing between 20-40 pounds.
Occasional climbing of stairs to reach other levels of the building.
Occasional stooping/kneeling/crouching to reach items on low shelves and to get into low cabinets.
Occasional reaching/handling to work with supplies equipment.
Frequent fingering to perform work tasks with computer, typewriter, and telephone.
Frequent talking/hearing/seeing to perform public relations tasks.
ENVIRONMENTAL CONDITIONS:
Location: Inside.
Minimal risk of injury due to proximity of moving parts on computer printer, typewriter, and copier.
Minimal exposure to biohazardous materials.
