Innocence Project Northwest (IPNW) , based at the University of Washington School of Law , seeks an experienced, committed Secretary Senior to support its work exonerating innocent prisoners and remedying causes of wrongful conviction. The only ! resource of its kind in Washington State, the IPNW frees innoc! ent prisoners using DNA and other new evidence, effects policy changes that protect innocent people from being convicted and educates our next generation of attorneys. Our integrated approach to achieving our mission combines litigation, legislative and legal rights education strategies.

Responsibilities

Case Intake and Screening

Answer incoming calls promptly, determine purpose of the call and forward to appropriate person. Ensure detailed messages are taken and delivered in a timely manner.

Create record of incoming mail and emails and maintain database on types of requests for assistance.

Scan all incoming correspondence and case documents as they are received; save them to appropriate electronic client folder; make copies and return originals to client as requested; distribute documents to staff attorney for review.

Screen new requests for assistance and respond accordingly.

Maintain case management and Exce! l databases.

Process incoming applications, checking for adherence to criteria, and send receipt letters.

Create electronic and hard files for new applicants and collect documents (e.g., court dockets and opinions).

As time permits, organize files under supervision of paralegal or attorneys.

Administrative Support

Create and update checklists for processing mail and screening applications.

Create custom data field and entry screens in AMICUS and custom reports as needed.

Draft data entry instructions for work study students and volunteers.

Supervise work study students, train in procedures, design and monitor tasks (e.g., photo copying, scanning and shredding projects).

Process payment requests for staff (reimbursement and/or payment directly to vendor) and track payments made by grant/account fund.

Assist with office space organization and preparation for student arrival.

Man! age AMICUS database contacts and conflicts checks.

Assist in s! pecial events implementation.

Collect and maintain media archive.

Collect and maintain email distribution lists.

Assist in archiving files.

Attend IPNW team meetings and take minutes.

As time permits, provide administrative support to the Director and staff, including calendar and meeting management, travel coordination, and assistance with special projects.

Other duties as determined by the Director.

REQUIREMENTS:
High School graduation or equivalent AND two years of increasingly responsible office experience involving occupational-level keyboarding/typing including transcription OR equivalent education/experience.

Additional Requirements:
Demonstrated proficiency in Microsoft Office products.

Ability to work inde! pendently, shift focus, adapt to changing priorities, and maintain patience in high pressure situations.

Excellent interpersonal, organizational, planning, verbal and written communication skills.

Must manage highly confidential information with professionalism and unquestionable integrity.

Positive attitude, collaborative philosophy, flexibility and a sense of humor.

DESIRED:
Bachelor’s Degree.

Working knowledge of a case management database is a plus.

Condition of Employment:
