The Attorney General’s Office is recruiting for a permanent full-time Legal Secretary 2 in the Social and Health Section of our Spokane Division. This position is based in Spokane.
The primary client agency of the Social and Health Services Section is the Department of Social and Health Services (DSHS). DSHS administers a variety of federally- and state-funded programs to protect the general public and assist those who are unable to provide for themselves. Programs include income and medical assistance, children’s services, child support, behavioral health and recovery services, developmental disabilities, juvenile rehabilitation, alcohol and drug rehabilitation, vocational rehabilitation, nursing home regulation, adult protectiv! e services, home and community care services, and other relate! d community social service program activities. Legal services provided to these programs include client advice as well as representation of the programs in legal challenges.

Duties:
This position supports the agency mission by providing legal secretarial support and performing other complex tasks for all staff in the Social & Health Services Section, to ensure that we service the citizens of Washington with the highest standards of excellence, ethics and effectiveness.

The primary focus of this position is the preparation of legal documents in juvenile matters. It is characterized by short lead times, graphic subject matter and a large number of cases. The legal secretary will be required to: organize and maintain case files during litigation; independently prepare legal pleadings and correspondence, use Critical Events and Outlook calendars and the agency’s Case Management System/Law Manager. The holder of this position must be able to multi-! task, manage a demanding and high-volume workload, work well under the pressure of deadlines, possess excellent interpersonal skills, and work well as a member of a team.

Duties include, but are not limited to :

  • Read and process attorneys’ mail and enter pertinent data into Case Management System and Outlook calendars.
  • Collect, organize, and analyze factual data in the independent preparation of pleadings, letters and memoranda, proofreading documents for spelling and grammar. Ensuring proper format for the appropriate court.
  • Schedule various hearings by contacting court personnel, opposing counsel, clients and other interested parties.
  • Draft motions and correspondence from file contents, previous orders and documentation received from client.
  • Examine documents to assure that all necessary legal steps and points have been covered and that all legal deadlines and due process requirements are met.
  • Edi! t legal briefs, motions and supporting documents, check legal citations! , then distribute copies to all involved parties.
  • Use Outlook calendar to track hearings and tickle dates during litigation.
  • Advise attorneys of trial commitments, critical event deadlines, conflicts in scheduled matters, and significant items needing immediate attention.
  • Oversee service of legal documents and correspondence to parties, processing of outgoing mail, copy projects, voucher preparation and submission for payment of fees incurred during litigation of cases.
  • Monthly run a report through case management of attorneys’ active cases; meet with attorney and discuss current status, then input updated information into Case Management System as necessary.
Perform entry-level paralegal support at least 25% of the time. This may include, as required: assisting attorney at trial by taking notes and coordinating witnesses; identifying, interviewing and scheduling witnesses and preparing a summary of their anticipated testimon! y; obtaining organizing, indexing, and copying exhibits; drafting non-routine pleadings, creating trial notebooks, including witness summaries, exhibits, and other relevant documents and legal resources; and reviewing case files and preparing a chronology of events in cases.

Qualifications:
Associate of Arts degree in Legal Secretarial Science or equivalent degree from an accredited college (90 total quarter credit hours or equivalency, with at least 20 quarter credit hours or equivalency in Legal Courses) or Legal Secretary Certificate from an accredited vocational institute.

AND

In addition to the above paragraph, one year of legal secretarial experience for an attorney, Administrative Law Judge, Industrial Appeals Judge, review judge or equivalent.

OR

Graduation from high school or GED equivalency and two years clerical typing, or stenographic experience and two years of legal secretarial experience for an attorney,! Administrative Law Judge, Industrial Appeals Judge, review judge or eq! uivalent..

Completion of a Legal Secretarial Course offered by a community college or business school (45 total quarter credit hours or equivalency in semester hours, with at least 10 quarter credit hours or equivalency in Legal Courses) may be substituted for the two years of clerical, typing or stenographic experience.

One year as a Legal Secretary 1.
