Hours: Full-time, M-F, 9:00 am â" 4:00 pm, 30-35 hours per week, some flexibility
Reports to: Immigration Department Manager
Purpos! e: To assist the Immigration Legal department with administrative duties.
Job Responsibilities and Duties:
SPECIFIC JOB DUTIES:
Ensure that services are provided in a planned, effective, and timely manner to eligible clients. Services should support and strengthen clientsâ motivation and capacities to become self-supporting.
- Organize and perform services within reasonable time frames complementing the needs and functions of the Immigration Specialists and Attorney.
- Enter data accurately into various computer programs and proof read for accuracy and completeness prior to printing documents.
- Prepare correspondence for submission of documents and response to requests for information to various agencies and clients.
- Maintain efficient communication with community resources to obtain necessary information to complete the processing of paperwork for our clients.
- Open, distribute, and proces! s mail, prepare documents for mail and take them to the post o! ffice.
- Assure that client files and records are kept in a functional and orderly manner and are secure and out of sight of visitors to Immigration.
- Enter appointments for interviews, oath ceremonies, etc. on the calendars for the Immigration Specialists.
- Check calendars of Immigration Specialists to ensure that documentation has been entered into Immigration Professional database, and print necessary paperwork for the appointment.
- Maintain open communication with staff on behalf of clients in accordance with individual immigration status, while honoring confidentiality.
- Maintain positive interaction with the members of the Immigration Department, other members of the World Relief staff, outside agencies, and the clients .
¨ Accurate data entry skills
¨ Strong administrative experience in an office setting.
¨ Ability to take responsibility and to guide others to action
¨ Organizational skill, attention to detail, and insight into best work-flow practices
¨ Excellent written and verbal communication skills
¨ Able to work under pressure and meet deadlines
¨ Desire and ability to work with people of diverse ethnicity, nationality, religion, language
Preferred but not required:
¨ ability to speak another language
¨ experience with immigration law in any setting
¨ life experiences and/or understanding of family relationships
¨ college degree.
