Duties and Responsibilities:
- Contractor wi! ll serve as a Paralegal/Legal Assistant for the Criminal Divis! ion.
- Contractor will divide time evenly between three different cases.
- The work requires a general knowledge of the legal processes, procedures, and practices and activities in conjunction with knowledge of clerical and administrative office skills and an ability to apply these skills to increase the effectiveness of the assigned attorneyâs.
- Independently identifies need for and prepares in final form legal documents, correspondence, and other related materials.
- Performs a timely and thorough review of incoming material.
- Accurately prepares appropriate legal documents in final form in accordance with rules governing style and format.
- Provides completed documents by established suspense date.
- Prepares repetitive/routine legal documents independently in accordance with established guidelines.
- Legal documents are properly formatted and thoroughly proofread for punctuation, spelling and grammar.
- ! Effectively assists attorneys in preparing for court. Accurately and timely maintains attorney and court calendars, assembles exhibits, schedules court reporters, schedules witnesses, arranges for service of subpoenas, arranges travel, and schedules conferences.
- Exercises sound judgment and discretion in determining information provided to telephonic inquiries, visitors.
- Answers inquiries not requiring legal interpretation and refers other questions to appropriate staff members.
- Assists in discovery process and preparation for trial
- Establishes and maintains legal files, (e.g., case, reading, reference, docketing, administrative). Contractor keeps appropriate office staff informed of case-management information in a timely manner (for example, grand jury, docketing, and administration.)
- In accordance with office policy, establishes and maintains files which are current, accessible and retrievable.
- Accura! tely and timely consolidates, eliminates and closes files.
- Per! forms grand jury duties.
- Prepares grand jury subpoenas and arranges travel for grand jury witnesses.
- Effectively utilizes grand jury calendar to determine date and time frame availability and assures 6(e) notice information is updated.
- Creates and maintains grand jury subpoena logs. Organizes and prepares grand jury exhibits.
- Performs docketing duties such as opening, and closing cases through use of the automated case tracking system. As necessary, searches database for required information. Maintains accurate case files by subject matter and in logical order.
- Maintains calendar of assigned active cases. Tracks filing, hearing, and trial dates, and scheduling conferences and interviews. Develops and maintains suspense system for ongoing cases and informs the attorneyâs of pending dates and deadlines. Maintains calendar(s) of the Attorney(s), scheduling appointments, interviews, and conferences, and provides reminders of commit! ments and court appearances.
- Arranges travel by preparing itinerary, and securing transportation and hotel reservations. Prepares travel authorizations and vouchers. Provides timely, accurate, and responsive procedural information on travel matters.
- Tactfully receives telephone calls and visitors, and independently handles those not requiring technical attention by the attorney.
- Performs all administrative functions in accordance with office policy and procedure.
- Produces a variety of written documents and materials utilizing a wide range of office software applications. For example, assignments may include integrating output from different software types, e.g., tables produced by database applications and charts and graphs produced by electronic spreadsheet applications, into word processing or desk top publishing text. Products include complicated tables, graphs and charts which may be incorporated into legal documents or courtroom pres! entations.
- Ensures proper format, spelling, punctuation, capit! alization, and grammar.
- Provides assistance to attorneys in trial preparation by performing duties such as compiling trial notebooks, organizing and tracking witnesses, exhibits and documents.
- Coordinates with the victim/witness specialist to ensure adherence to current Departmental guidelines relating to victimâs rights and services responsibilities.
- Notifies appropriate individuals of victim/witness issues.
- The Contractor shall provide a General Clerk with the knowledge; skills and abilities to perform the duties as specified herein. The General Clerk shall be proficient in Microsoft Office software programs (i.e., Word, PowerPoint, Excel and Outlook) and WordPerfect Office Suite.
- Ability to use, understand and maintain directories, personnel lists and other guides and references to provide a variety of information on the office and to refer questions to other offices.
- Skill in meeting an! d dealing with people in a courteous and tactful manner.
- Skill in operating a computer terminal, personal computer, electronic typewriter, or dedicated word processor using a standard typewriter style keyboard with additional function keys to produce a wide range of documents.
- A qualified typist is required.
The contractor shall work from 8:00 a.m. to 4:30 p.m., Monday through Friday, except Federal holidays. The contractor works in an office setting; some walking, standing, bending and carrying of small office items is required. This position may require some travel. The contractor shall perform duties at the following locations: SEATTLE USAO Main Office (Most work performed here) TACOMA USAO Branch Office
Required Qualifications:
- Requires paralegal certificate.
- An equivalent level of legal training may be substituted with the approval of the COTR.
- At least one year of litiga! tion paralegal experience required; trial experience very helpful. Auto! mated litigation support experience very helpful.
- Must have basic legal knowledge, including knowledge of standard legal citation system sufficient to perform basic legal research.
- Requires excellent written and oral communication skills, thorough knowledge of legal research tools such as LEXIS and WestLaw.
- Should have hands-on familiarity with a variety of computer applications, including word processing, database, spreadsheet, imaging, and telecommunications.
- Ability to consistently deliver highest quality work under extreme pressure will be very important.
