Gates Hall, a new state-of-the-art facility in vibrant Seattle, the School of Law is also home to the Gates Public Service Scholars program and the Barer Institute for Law and Global Human Services. The UW School of Law has an outstanding opportunity for a Faculty Support S! upervisor II. This position will serve as the Faculty Support Supervisor II for the Faculty Secretarial staff and perform professional secretarial duties for designated School of Law faculty. The Faculty Support Group of the School of Law offers faculty (full-time, part-time, visiting, adjunct and affiliate) teaching in the School of Law administrative support for faculty teaching, scholarship and public service.
The Faculty Support Supervisor II will oversee the Faculty Support GroupâÂÂs day-to-day office operations and budget, supervise all Faculty Support Group staff, and act as liaison between the Faculty Support Group and faculty, and other offices within the School of Law and University, and outside organizations. Additionally, the Faculty Support Supervisor II will provide faculty support services to a small group of faculty (generally three or four full-time faculty). The Supervisor will report to and act under the delegated authority of the Director of ! Human Resources. RESPONSIBILITIES: The Supervisor will oversee all of t! he day-to-day office operations of the Faculty Support Group with duties and responsibilities which will include but not be limited to the following: -Serve as the first contact point for questions from faculty and secretarial staff.
- Maintains relationships between faculty and secretarial staff, monitor faculty workload requests to ensure that requests fall within secretarial staff job classifications. -Develops and manages support staff budget. -Ensure that questions and requests from both faculty and secretarial staff receive attention and timely response, working with Secretary Lead to coordinate overload coverage. -Supervises staff including hiring, performance management, training, discipline, merit and promotion recommendations.
- Work closely with secretary lead and provide necessary updates and consulting regarding questions and problems. Serve as a resource to supervisor regarding the capabilities and training needs of individual secretarie! s. -Consult with secretary lead regarding annual performance evaluations for secretarial staff. Provide input regarding goal setting for the next evaluation period.
- Take the lead role in orienting and mentoring new secretarial staff. -Create and maintain intranet website containing all Faculty Support Group office procedures, recommend new office procedures, and exercise independent judgment in interpreting and applying existing procedures. -Prepare and/or direct the preparation of reports, budgets, teaching materials, scholarly manuscripts, legal documents and pleadings, and office manuals using word processing, graphics, statistical, spreadsheet and/or database software. -Plan, organize and manage Faculty Support Group staff meetings.
- Represent the Faculty Support Group at department meetings. -Deal professionally with students, staff, faculty, attorneys, alumni and all other visitor and callers. -Perform the duties of Secretary Senior. -Perform related ! duties as required.
Experience working in legal environment. Excellent spelling, composition, summarizing, typing, editing, filing, telephone, computer, organizational, supervisory and interpersonal skills. Demonstrated ability to work independently under general direction without detailed supervision and be successful in working independently with others to accomplish program goals. Initiative, ! attention to detail, judgment, intelligence and professionalism in the work place is essential.
Must work well with diverse personalities in a service oriented environment subject to fluctuating priorities and interruptions. Candidates must have demonstrated experience managing employees including hiring and performance management. Commitment to a service orientation, including customer service skills and experience. DESIRED: Baccalaureate degree.
Familiarity with Westlaw and/or Lexis. Speed, accuracy, proofreading and the ability to take and follow directions are essential elements of this position. Must function well under often intense deadline pressure. Must demonstrate flexibility and willingness to work with systems in transition.
The ability to assume a leadership role in fostering a collaborative working environment.
