The UW School of Law has an outstanding opportunity for an Assistant to the Dean.
The Assistant to the Dean oversees projects and performs high-level administrative duties for the Dean of the School! of Law. Responsible for the day to day calendaring and manage! ment of contacts for the Dean, this position will work with highly confidential information and is responsible for maintaining an organized and professional office, and for prioritizing his/her own workload to meet a multiplicity of deadlines. The Assistant to the Dean will work with faculty, students and staff in the Law School and the University at large, as well as members of the broader legal community, including alumni, judges and other external constituencies.
RESPONSIBILITIES:
Represent the Dean within the College and campus community serve as liaison between Dean and other law school constituencies, relaying and gathering information regarding ongoing projects and assignments
Maintain Deanâs calendar. Direct the coordination and preparation of Deanâs travel arrangements
Review incoming correspondence, take action or otherwise insure completion of requests, and maintain communication links between the Dean and others
! Make decisions, advise and answer questions based on knowledge of the Deanâs views, preferences and actions on numerous administrative issues. Routinely compose formal and informal correspondence on behalf of the Dean
Define scope, conduct research, analyze and prepare information, reports, correspondence, and other materials for use by the Dean, Associate Deans and other senior staff members. Materials are often of a confidential nature; sensitivity, accuracy, and timeliness are critical to such information
Interact directly with the Offices of the President, Provost, Vice Provost and University Departments to gather information, as well as acts as a resource for their inquiries and requests
Coordinate high-profile meetings; develop program agendas, invite faculty participation, coordinate with various colleges or administrative units on campus, develop and disseminate program information to participants and invitees. Representative meetings i! nclude Board of Deans, Executive Committee, and Deanâs Staff meetings!
Work closely with Manager and Assistant to the Associate Deans to maintain continuity of Deanâs office leadership while the Dean is away
Manage Deanâs expense reporting including using knowledge of UW budget systems
REQUIREMENTS:
- Current University of Washington employee
- Bachelorâs degree required and a minimum of five years of experience providing executive level administrative support
- Advanced knowledge and experience with word-processing, presentation, spreadsheet, email and calendaring software
- Excellent oral and written communications ability including the ability to prepare draft documents as required
- Must work independently and well under pressure, with tight deadlines and changing priorities
- Discretion and ability to work with sensitive issues in a confidential, professional manner is required
- Ability to work independently and professionally under the pressure! of frequent deadlines in a fast-paced environment, and display flexibility and willingness to assume new tasks or special projects
- Good interpersonal skills and ability to work with a diverse community
DESIRED:
- Experience working in a law school
- Experience working in higher education or knowledge of academic personnel policies
- UW fiscal knowledge
