Program functions include development of policies and standards, auditing, monitoring, education/outreach, investigations, risk assessment and mitigation, regulatory monitoring and program modification, and on-going evaluation and reporting of program effectiveness.

UW Medicine Compliance has an outstanding opportunity for an Administrative Assistant B, Business Affairs Management Unit . This individual will be responsible for providing professional, executive level assistance and administrative support directly to the AVPMA/CCO, UW Medicine Compliance and his/her direct reports; and serves as his/her primary point of contact/units for a broad range of high-level university, community, and government contacts. This position is responsible for providing ! primary communication process and highly confidential professi! onal administrative support for the AVPMA/CCO and his/her direct reports.

Organize and manage the overall business affairs of assigned UW Medicine Compliance leadership members. Provide overall support of the administrative operations, systems and resources which support the unit. Serve as confidential liaison for assigned AVPMA/CCO and members of the leadership team. Coordinate processes to maintain complex calendars, screen assigned leadership member’s electronic mail and correspondence and communicate time-sensitive information; independently develop and report on analysis to improve resource management and services; respond to author with requests for written or reporting tasks as deemed appropriate. Independently request follow-up and action as warranted and establish priorities, ensuring that all official and social obligations are met and materials are prepared to meet professional commitments. Independently delegate incoming correspondence to, and outgoin! g correspondence on behalf of, AVPMA/CCO, and his/her direct reports, for response and/or action and provides significant support in the development, implementation and interpretation of UW Medicine policies, programs, goals and objectives. Consistently provide UW Medicine Compliance leadership with the administrative oversight necessary to stay abreast of factors internal and external to the health system. Ensure timely and effective communication between leadership and key customers. Translate and articulate senior leadership’s vision, values, and mission for the organization. Exercise independent judgment in responding to a wide variety of non-routine matters. Perform other related duties as assigned.

The Administrative Assistant B will actively manage a complex schedule of commitments, receive and convey highly confidential information, and exercise independent judgment in analyzing, prioritizing, and responding to issues.

This position will have fre! quent contact with the offices of the UW Medicine Dean, the Health Syst! em’s Vice Presidents, Associate Vice Presidents, Executive Directors, Attorney General’s Office, Risk Management, members of the Compliance Board, representatives of the media, patients, visitors, and students, faculty, physicians and staff.

Reporting to the Business Affairs Manager this position will also perform a wide range of administrative support activities associated with the management of budgets, committees, workgroups, projects, initiatives, and communications under the AVPMA/CCO’s jurisdiction.

REQUIREMENTS:
High school graduation or equivalent AND five years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work OR equivalent education/experience.

Additional Departmental Requirements:
Experience supporting a senior-level executive.
Demonstrated problem-solving and sound judgment to include discretion and initiative in carrying out responsib! ilities in a confidential manner.
Demonstrated ability to utilize computer software, databases, project management software, communication programs and the Internet to accomplish responsibilities.
Highly developed interpersonal skills, excellent written and oral communication skills.
Demonstrated organizational skills, experience working with minimal supervision, ability to manage multiple and rapidly changing priorities.
Advanced computer and Microsoft Windows, electronic calendar, email, Excel, PowerPoint, and Adobe Acrobat software skills.
Proven ability to handle sensitive situations and work with highly confidential information with excellence, tact and discretion.
Strong organizational skills to include the ability to work efficiently with competing priorities and deadlines.
Exceptional customer service skills.
Flexibility and availability to work evenings and weekends as needed.

DESIRED:
Bachelor’s Degree in Busin! ess Administration, Public Policy, Para-Legal Training or related field! . Experience providing executive-level support in a university, health care or legal environment. Knowledge of and familiarity with UW and UW Medicine and UW School of Medicine policies, procedures and operating environment. Knowledge of compliance requirements in the academic environment.

Condition of Employment:
The incumbent must be able to work early mornings, evenings and weekends as needed to prepare for or participate in meetings/events, or to assist the AVPMA/CCO and or leadership team in responding to emergent issues. May include travel to the various UW Medicine health system entities/organizations.

UW Medicine Compliance manages a significant volume of audits, inquiries and consultations. Work priorities shift in response to fluctuating demands. Full time schedules are assumed to be at least 40 hours, however, incumbents are expected to remain flexible to accommodate the unit's goals and mission, and to work beyond their normal schedu! le when necessary.
