The KEXP Pr! ogramming Team is dedicated to enriching people's lives by championing music and discovery, sharing, and engagement experiences for music lovers worldwide.The Assistant to the Senior Director of Programming position is a full-time, exempt position responsible for providing essential administrative support integral to the day-to-day operations of KEXPs Programming department as well as managing special projects for the Senior Director of Programming and coordinating the production of the Afternoon Show (hosted by Senior Director of Programming).KEXP is a Seattle-based non-commercial radio station and website that produces an award-winning, innovative blend of music that promotes discovery among its worldwide audience. ------------Assistant to the Senior Direcot of ProgrammingDepartment: ProgrammingReports to: Senior Director of ProgrammingFLSA Status: ExemptPosition Status: Regular, Full-Time-------------Position Summary: The Assistant to the Senior Director of Programming assists the work of the Senior Director of Programming, providing essential administrative support by creating, implementing, and managing vital support systems integral to the day-to-day operations of KEXPs Programming department. This position manages projects for the Senior Director of Programming, contributes to special projects for the Programming team, and coordinates the production of the Afternoon Show (hosted by Senior Director of Programming).Essential duties include, but are not limited to:
Manages all administrative functions for Senior Director ! of Programming (SDP), including organizing incoming communications; maintaining Programming office space; managing files and databases; and performs upkeep of applicable music libraries.
Responsible for organizing and prioritizing all SDP correspondence, including email, mail, and phone calls, ensuring all correspondence is addressed and responded to in a timely manner by self or SDP, as appropriate.
Manages the schedule and calendar for SDP; coordinates all appointments in a timely manner, troubleshooting and resolving scheduling conflicts as needed, and ensuring that SDP has adequate time available for meetings, project work, and administrative tasks; makes sure SDPs availability is current at all times.
Manages expenses for SDP per annual budget, including purchases, payment requests, expense reports, and other financial forms and documentation; ensures that expense reporting is completed and submitted on time, per the fiscal calendar.
Compiles informatio! n from the Programming Team and Content Team contributors as needed for! weekly departmental and organizational reporting.
Compiles information, metrics, and other data as needed for interdepartmental communications and meetings.
Compiles agenda items for weekly meetings and publishes meeting minutes.
Assists SDP with planning, administration, and production of radio shows, podcasts, and other programming content.
Researches and assists with decision-making about programming content for podcasts, interviews, radio shows, the KEXP blog, e-mail communications, Afternoon Show social media outreach, and other programming content as needed.
Provides project management and contributes to execution of projects for the SDP, such as public service campaigns, production of Live at KEXP CD compilation, content acquisition, and Programming partnerships.
Responds to specific listener e-mails on behalf of the SDP and/or Afternoon Show host, as directed.
Manages relationships and facilitates communication with the music industry on! behalf of SDP; requests additional promotional products, tools, and information from record labels as needed.
Designs, formats, writes, creates, prepares, and publishes DJ playlist content for mass e-mail distribution (currently via Convio); responsible for decisions about content and the way its featured; ensures consistency with the editorial voice of KEXP, the interests of KEXP listeners, and KEXPs mission and vision.
Writes, edits, and maintains content for the KEXP blog on behalf of the SDP/Afternoon Show host; ensures contributed posts are in accordance with the established voice of the KEXP Blog.
Functions as fill-in DJ Assistant for the Afternoon Show, if needed.
Represents the station at public events.
Participates in daily status meeting with SPD.
General Organizational Responsibilities:
Maintains thorough understanding of KEXP organizational policies, including employee handbook; follows policies and leads by example.
! Ensures that all expenditures under the Assistant to Senior Director of! Programmings purview are in line with and reported according to KEXP policies; meets all fiscal reporting deadlines as set forth by organization, including the timely submission of expense reports by self and all direct reports (if applicable).
Manages payroll submission for self and all direct reports (if applicable) in compliance with KEXP policies, including timely submission of payroll for processing and arranging appropriate coverage of payroll obligations while out of office.
Non-essential duties:
Assists with other organizational activities as directed.
Supervision Received: Position reports to Senior Director of Programming.Supervision Exercised: Directly supervises Programming volunteers.Educational Qualifications: Bachelors degree and one to three years of professional experience managing projects and providing administrative support; or an equivalent combination of education and experience sufficient to successfully perfor! m the essential duties of the job as listed above.Position Qualifications:
Strong organizational, analytical, problem-solving, and planning skills.
Excellent computer skills, including database management and record keeping.
Demonstrated proficiency with Microsoft Office suite, including Outlook calendar management.
Demonstrated familiarity with standard office administrative practices and procedures, including the proficient use of standard office equipment.
Proficient in learning, understanding, adapting to, and using new software systems and computer programs.
Ability to take and transcribe meeting notes into accurate, complete minutes.
Must be able to work an irregular schedule, evenings or weekends as needed, and additional hours during peak times, as required.
Demonstrated knowledge and proficiency in the use of HTML.
Online marketing and social media experience a plus.
Familiarity with WordPress a plus.
Outstanding att! ention to detail. Commitment to maintain confidentiality and a high deg! ree of accuracy.
