Position Responsibilities:
Maintain the vice president of instruction's calendar, establishing priorities and ensuring that official obligations are met.
Screen mail, determining priorities and routing appropriately.
Make all necessary travel arrangements for the vice president.
Assist with travel arrangements for other instructional administrators as needed.
Form effective lines of communication within the Instruction unit and throughout the College community.
Initiate and coordinate meeting agendas and materials for Instructional Council; provide accurate minutes of those meetings.
Prepare agendas and arrange for other meetings, as assigned, such as the Instruction All Staff meeting and Quarterly Instructional Leadership meeting.
Manage the Instructional Council and Expanded Instructional Council SharePoint sites, including posting meeting agendas, minutes and materials.
Ensure site membership is update! d when new administrators are hired.
Act as liaison for th! e vice president of instruction with the College community, SBCTC, the Office of the Attorney General, other state agencies, businesses, educational organizations, local school districts, and other colleges and universities.
Develop and maintain current knowledge of general operations within the Office of Instruction, as well as policies and procedures of Instruction, the College, the Board of Trustees, and the State community college system (as they pertain to assigned duties).
Assist in the development of procedures to facilitate adherence to policies and procedures (as they pertain to assigned duties).
Coordinate the evaluation process for instructional administrators that report to the vice president of instruction.
Prepare and distribute evaluations as appropriate. Maintain and update the faculty Reduction in Force (RIF) list in compliance with the faculty contract.
Support faculty contract negotiations and grievances with appropriate levels of conf! identiality.
Oversee assignment of faculty to college committees and maintain accurate rosters for each committee.
Provide current assignments to the president's office at the start of each academic year.
Prepare reports and surveys as directed by the vice president usually requiring research from Office of Instruction or College records.
Manage, edit, and proof instructional material, correspondence and communications, including recommending new or revised policies and procedures and being responsible for ensuring that this information is kept up-to-date.
Direct students with academic concerns to the appropriate administrator or office for assistance.
Oversee the Vice President of Instruction's Foundation Account.
Assist in developing and implementing annual operational plan for the Office of Instruction.
Oversee maintenance of complete files and index of vice president's correspondence and information relating to administrative responsibili! ties following the current guidelines for records management.
Maint! ain instructional related records in accordance to the records retention policy.
Perform related duties as assigned.

Qualifications:
MINIMUM QUALIFICATIONS:
Education: Bachelor’s degree ( additional qualifying experience and/or college coursework may substitute for education on a year-for-year basis. )
Experience: four years of progressively responsible experience in an office, secretarial, or general administrative work. Supervisory experience and fiscal/budget experience.
Computer Skills: working knowledge of basic computer software programs including word processing, spreadsheet, database management and electronic scheduling and communication; prefer experience using a Windows environment with Microsoft Word, Excel, Access, PowerPoint and Outlook (or comparable software). PREFERRED QUALIFICATIONS:
Experience working effectively with diverse groups of people.
Strong planning and organization skills.!
Ability to be flexible.
Excellent written and verbal communications skills.
Ability to effectively organize and manage details and multiple priorities; ability to work in a fast-paced and ever-changing office environment and maintain composure and poise in sometimes hectic situations.
A self-starter capable of working independently and meeting objectives with little supervision.
Strong interpersonal skills and ability to maintain a professional, friendly, and courteous demeanor with all internal/external audiences.
Ability to respond tactfully and respectfully to executive management, employees and external constituents.

Supplemental Information:
