Part Time Administrative Assistant

This position is part time, 20 hours per week, with the expectation of growing to full time after 6 months. The Administrative Assistant provides organization and structure to the firm by supporting the activities of the attorneys and paralegals in the office. This position will provide administrative support including but not limited to, the client support & scheduling, bookkeeping and office management responsibilities listed below.
Responsibilities:
Client Support & Scheduling
- Communicate with prospective clients via email or phone to understand their needs
- Screen and determine appropriate internal contact for client or colleague inquiry
- Schedule and confirm client appointments
- Maintain database on prospective and current clients
- Perform follow up activities with prospective clients
- Perform business legal filings
- Perform research
- Connect with new contacts on LinkedIn (on behalf of Managing Attorney)
- Register attorneys for seminars/educational programs
- Enter expenses into QuickBooks
- Reconcile bank statements and credit card statements
- Enter client estimates/project data
- Create and send monthly invoicing and statements
- Process client payments through online system
- Make bank deposits
- Follow up on non-payment
- Issue checks for signature
- Communicate with accounting and bookkeeping firms
- Manage electronic data by creating folders, scanning and filing all client information
- Update process manuals
- Anticipate and order office supplies & equipment as needed
- Work with office support such as IT team and property management to resolve questions/issues
- Manage inbound and outbound mail and track any deliverable deadlines
- Answer phone calls and voice mails. Forward messages or respond to inquiries
- Update LinkedIn, Facebook and Twitter accounts
- Schedule and coordinate monthly seminars including communication with attendees and printing materials
- Demonstrate work experience in a professional office environment, legal environment a plus.
- Bachelorâs degree preferred or equivalent experience required
- Strong knowledge of Office products (Excel, Outlook, Word, Power Point)
- Knowledge of Adobe Acrobat Professional
- Experience with Amicus Legal Software a plus
- Knowledge of QuickBooks
- Comfortable with research on the Internet and Internet based software as well as use of social media tools
- Professional in all communications and interactions
- Highly organized with ability to manage multiple tasks with flexibility as tasks change
- Desire to deliver highest quality of service and work product
- Excellent verbal and written communication
- Ability to prioritize work and manage time
- Attention to detail and high level of accuracy
