Under the general supervision of the Manager fo! r the Office of Medical Staff Appointments (OMSA), the Program Coordinator is responsible for organizing and coordinating the operational efforts associated with the credentialing office. This position will coordinate numerous administrative assignments related to the overall function of the medical staff credentialing unit.

In compliance with established policies and procedures, bylaws, regulations, and laws; responsibilities for the program coordinator are planned and executed with significant independence. Specifically, the Program Coordinator is responsible for all efforts associated with coordinating the processing of initial applications (approximately 400/year) for practitioners joining the UW medical staff and the reappointment process for all applications (approximately 1,250/year) for those practitioners already on the UW medical staff. It is the Program Coordinator’s responsibility to be an expert, to independently advise others of the many policies! and procedures associated with OMSA and the credentialing process for each of the UW Medicine facilities, which include (University of Washington Medical Center(UWMC), Harborview Medical Center(HMC), Seattle Cancer Care Alliance(SCCA), UW Neighborhood Clinics(UWNC), and Hall Health(HH). Credentialing and Privileging: The Program Coordinator is responsible for the review of initial applications and reappointment applications for all credentialing and privileging requests.

The thorough review of each application requires; confirmation of accuracy and a detailed review of materials for completeness prior to submitting to the Credentials Committee, Medical Executives Committee and Board of Trustees of UW Medicine facilites (UWMC, HMC, SCCA, UWNC, and HH) for final review and consideration. During the review of each application (and reappointment) continuous follow up is required. It is the Program Coordinator’s responsibility to resolve and troubleshoot difficult! ies associated with gathering the required verification responses. Whil! e maintaining the highest level of confidentiality; the Program Coordinator must ensure all applicants and reappointments are qualified for the privileges requested and all required documentation has been received; kept on file.

Communication: The Program Coordinator is fully responsible for communicating with many different levels of management within UW Medicine. Whenever a practitioner falls outside UW Medical standards (i.e. foreign medical graduates, license or malpractice sanctions, patient complaints, etc.) The Program Coordinator has the responsibility to investigate, gather information from all sources, summarize findings and provide this information to Vice President of Medical Staff, Medical Director, Department Chairs and Credentialing Committee. Accurate assessment of issues and their impact on UW Medical policies and procedures is vital to this position.

The Program Coordinator also provides information and advice to departments, medic! al staff and program participants regarding, bylaws requirements, UW policies and privilege requirements, recommend alternative courses of action (i.e. Board Waiver for Foreign Medical Gradates, Supervisory Plan to meet UW Medicine requirements, etc.) Engage in daily interaction with a wide variety of administrative and clinical personnel in addition to those mention above would also include Office of Risk Management, Medical Staff Offices and Compliance Offices. Risk Management: Gather information on pending and settled lawsuits through primary source verification with national insurance carriers and National Practitioner Database (NPDB) as required by Federal Law, State licensures sanctions including open and closed complaints for past 10 years as required by UW Medicine, Patient Complaints and resolution as provided by UW Office of Risk Management and verifications of Medicare and Medicaid sanctions, verification of compliance with Office of the Attorney General and othe! r quality control agencies. Confidentiality: Comply with all policies a! nd procedures to guarantee confidentiality of any information collected and entered into the database related to individuals and entities involved with the credentialing or reporting process.

Communications often deal with confidential and/or sensitive issues requiring professionalism, sanctions and peer review. Regulatory Compliance: Comply and enforce accreditation and regulatory standards. Ensure OMSA’s credentialing process meets all State and federal laws and satisfies the Medical Centers’ by-laws, meets The Joint Commission (TJC), National Committee for Quality Assurance (NCQA), and other credentialing guidelines. Budget: Provide assistance with monitoring and reconciling the departmental Procard expense reports.

Departmental Operations and Facilitate Medical Staff Functions: Maintain database records of appointment, reappointment, and termination dates; granted privileges; dates for sending and receiving verifications and legally required ! documents. Maintain electronic and paper files for each medical staff member including copies of applications, current State licensure, certifications, hospital privileges, and letters of recommendation. Assist with the work flow, training, and reviewing files prior to submission for Departmental and Credentials Committees review and approval for other employees. Decision-Making Authority: This position is requires considerable independent judgment in interpreting and applying The Joint Commission medical staff standards(TJC), National Committee for Quality Assurance(NCQA), State Laws and regulations as they pertain to the credentialing and privileging of applicants for medical staff appointment.

This position independently advises Assistant Director of OMSA, hospital medical directors, academic department chairs and others staff of applicant’s education, training, and qualifications for medical staff appointment. This position also has to have the ability to ! communicate with a variety of institutions and their staff, attention t! o detail, organization skills and respect for confidentiality of information. The Program Coordinator will have extensive involvement with staff, the public and/or agencies in carrying out program activities, and coordinate activities to determine consistency with department and program goals.
