This job is responsible for providing regional administrative support for the Workers’ Compensation function, pe! rforming a variety of moderately complex clerical tasks and activities in accordance with established procedures in this confidential position.

Work includes processing claims, maintaining claims files, assisting in the revision of forms/documents, maintaining department databases/logs, producing incident and claims related reports and supporting appropriate committees.

Work requires familiarity with the objectives of the Franciscan Health System (FHS) and Catholic Health Initiatives (CHI) Workers’ Compensation programs, and knowledge of the terminology and procedures for processing workers’ compensation claims sufficient to carry out most responsibilities independently.

An incumbent uses initiative in carrying out the recurrent work, handling problems and deviations in accordance with established procedures, accepted practice and/or requirements.

Essential Functions:
Assists with completion of SIF-2 (self-insured fund) in ! accordance with established timelines; establishes, assembles,! maintains and updates files, records, charts, statistical data, reports and other information as needed to support and document incident, claims, regulatory and/or safety and incident trends; reviews forms, documents, records or applications for completeness, accuracy and compliance with established procedures; investigates and corrects errors within designated scope of responsibility; reviews reports (e.g. Safety Committee Report) for emergent issues/trends and advises appropriate manager.

Provides telephone support for the Workers’ Compensation function, handling or routing telephone calls from doctor’s offices, pharmacies, managers, staff and others, as appropriate; prioritizes and distributes mail and other incoming information (e.g., facsimiles, incident reports, billings, doctors notes, notices from regulatory agencies) directed to department; responds to questions relating to matters within designated scope of responsibility.

Processes claims, ! incidents or occurrences in accordance with established standards and guidelines; prepares documents for CHI; requests, researches, gathers and/or compiles information relevant to the claim (e.g. policies, procedures, medical records and billing information); coordinates the continuation of outside attorney requests for record reviews.

Designs and produces standard and ad hoc safety/claims-related STARS reports and completes trend analysis, generally using desktop software applications (e.g. STARS, Access, Excel); checks statistical information against source documents to validate accuracy of reports; ensures that reports are provided to appropriate parties in a timely manner (e.g. committee members in advance of meetings).

Coordinates arrangements for meetings and related activities as requested; provides administrative support to committees associated with the Workers’ Compensation function by coordinating meeting schedules, preparing agendas/presentat! ion materials, taking/distributing meeting minutes and maintaining meet! ing notebooks.

Sets up and maintains department files, including incident reports, and claims files to ensure compliance with department standards and regulatory requirements (JCAHO, DOH).

Maintains department logs and databases (e.g. STARS); enters updates and retrieves data from existing spreadsheet models, database files and/or other automated/manual sources.

May perform incidental secretarial tasks such as scheduling appointments; maintaining calendars of department member; screening calls/visitors and providing ongoing clerical support to department member as required.

Performs related duties as required.

Qualifications

Education/Work Experience Requirements:
High school diploma (or equivalent), and two years of recent related work experience, preferably in a workers’ compensation or risk management environment.

Associate’s degree in secretarial science, insurance or paralegal education is pr! eferred.

License/Certification:
None
